Long Distance Renovations

Long-distance property renovations can be challenging due to the physical and logistical constraints involved. Most real estate investors shy away from these long-distance properties since there are many difficulties that they could encounter. Many of the same investors like to put their hands on the property and actually look at it while the rehab is going on to instill confidence that it's being done correctly.

However, I have found that the long-distance rehabbing, although difficult, has some advantages and can definitely be done with a proper contractor and a system in place for ensuring things get done to your satisfaction. You should have standard operating procedures (SOP), checklists, etc. to make sure things get done correctly, on time, on budget, and having follow up mechanisms in place. Below are a few difficulties with long-distance renovations.

Common Difficulties:

  1. Lack of Physical Presence: When you are not in close proximity to the property, you cannot easily visit it to assess progress or address issues that may arise during the renovation.

  2. Communication Challenges: Effective communication is essential in any renovation project, but it becomes more complicated when you are not on-site. You may rely on phone calls, emails, or video chats, which can lead to misunderstandings and delays.

  3. Hiring Contractors: Selecting and managing contractors from a distance can be challenging. You might not have the opportunity to meet them in person, which can make it harder to establish trust and ensure they are qualified for the job.

  4. Trust Issues: Trusting contractors and subcontractors to carry out work correctly and on time can be difficult when you can't easily oversee their activities in person.

  5. Delayed Decision-Making: Decision-making processes can be slowed down due to the need to coordinate with multiple parties, including contractors, suppliers, and local authorities.

  6. Unforeseen Issues: Renovation projects often encounter unexpected challenges that require quick decisions and adaptability. When you are far away, addressing these issues can be more complicated.

  7. Quality Control: Ensuring the quality of work can be more challenging when you can't regularly inspect the progress and workmanship.

  8. Time Zone Differences: Time zone differences can complicate communication and scheduling, leading to potential delays.

  9. Travel Costs: Frequent trips to the renovation site can be costly, and the distance may necessitate overnight stays. I NEVER HAVE VISITED ANY OF MY LONG DISTANCE HOUSES SINCE 2012 (OVER 10 YEARS).

  12. Security Concerns: An unoccupied property undergoing renovation may be at a higher risk of theft or vandalism. Ensuring the security of the property from a distance can be a concern.

Although many of these are legitimate concerns, I have found that most constraints can be overcome with the right systems, organization, technology, and people (see the “how to” section below). In addition, I have found there are some benefits as described below.

  1. More Investment Opportunities: Long-distance renovations allow you to invest in properties located in areas with potentially higher returns on investment, even if you don't live nearby.

  2. Diversification: By expanding your property investments to different geographic locations, you can diversify your real estate portfolio, reducing risk associated with a single market.

  3. Possible Cost Savings: In some cases, properties in distant locations may be more affordable, providing an opportunity for cost-effective investments.

  4. Remote Work or Retirement: Renovating a property in a location you plan to move to in the future can provide a retirement or remote work option.

  5. Passive Income: After renovation, the property could become a rental house which can generate passive income in different locations. This can be managed remotely with the right property management team.

  6. Tax Benefits: Depending on the tax laws in your country, long-distance property investment may offer certain tax advantages.

  7. Cost savings: Labor and materials may be cheaper in a different location, allowing you to complete renovations for less.

  8. Access to better climate: You could renovate a property in a warmer or drier climate that has weather suited for construction projects.

  9. Taking advantage of market trends: You could buy and rehab properties in up-and-coming real estate markets with a better ROI.

  10. Hands-off for stressful projects: Distance can be a benefit when renovations will be disruptive. It forces you to handle issues remotely. This is a big one for me since when the property is nearby I had a tendency to micro-manage the rehab and this is not the best and highest use of my time.

The key is weighing increased management effort against potential cost savings, lifestyle benefits, market opportunities and other advantages unique to renovating remotely.

How To Manage Long Distance Properties:

  1. Technology advancements has really helped me to do these long distance projects. Modern technology, such as video conferencing, project management software, and remote monitoring devices, makes it easier to manage renovations from a distance.

  2. Depending on the level of renovation, you will probably need a general contractor to manage the renovation and report to you on a weekly basis on the status. However, on a simple flooring and paint type project, I don't feel like it is necessary to get a general contractor since I use an established professional flooring company and painting company in the area that has all the proper systems and people in place.

  3. It is important to leveraging local expertise. You can tap into local expertise by working with contractors, real estate agents, or property managers who are knowledgeable about the area, its regulations, and the local real estate market. It really starts with reaching out to people in the area such as real estate agents that may have contacts of good carpenters, flooring people, painters, etc. Another way to call and speak to people at stores that sale DIY supplies like lumber stores, home goods stores, appliance stores, local hardware stores, paint stores, etc. They usually have many people they can recommend and that works super well.

  4. When hiring someone to do a job, you definitely need to write up some type of contract spelling out what exactly they are going to do, when they will start, when they will finish, a detailed account of the costs (supplies, labor, etc.) and what happens if they don’t finish according to the schedule and your recourse if things are not done properly.

  5. At the end of each project it would be wise to have a 3rd party (like a real estate agent or inspector) walk to the property and take notes and pictures to make sure things were done properly. In addition, I will have the contractor video the entire property and also take photos of each room and the areas where the work was completed.

  6. There are also many small things - like making sure the water is turned off at the end of each day and the thermostat is on the proper setting to avoid freezing or other issues. I have had issues where the water was left on and a pipe broke and caused damage and many headaches.

Other items to support your long-distance renovation project include:

  • Set Clear Goals: Define your renovation objectives and vision. Understand what you want to achieve with the property.

  • Create a Budget: Establish a detailed budget that includes all renovation costs, including materials, labor, permits, and contingencies.

  • Plan Extensively: Develop a comprehensive renovation plan that outlines the scope of work, timelines, and milestones. Be as detailed as possible.

  • Hire Qualified Professionals: Carefully select contractors, architects, designers, and other professionals. Check references, licenses, and previous work.

  • Obtain Necessary Permits: Ensure that you have all the required permits and approvals before starting any construction work to avoid legal issues.

  • Regular Communication: Maintain open and consistent communication with your contractors and renovation team. Set up regular check in and progress reports.

  • Quality Control: Emphasize the importance of quality work and attention to detail. Specify your expectations to the contractors and have them commit to meeting those standards.

  • Flexibility: Be prepared for unforeseen challenges and changes in the project. Flexibility in your plan is essential to adapt to evolving circumstances.
